The Complete Booking Guide: Step-by-Step Process, Itemised Inclusions, Pricing, Deposits, Cancellation & Everything You Need to Know Before You Pay

The moment you decide you want to trek the Rwenzori Mountains is the easy part. The moment you start trying to understand the costs, what the quoted price covers, what you need to budget for separately, how the booking process works, and who you can trust to get you safely on the mountain, that is where the research begins in earnest. This article specifically addresses that moment.

Booking a Rwenzori Mountains trek with a specialist operator is a fundamentally different process from booking a city hotel or a package beach holiday. The Rwenzori is a serious mountain in a remote environment, and the package you are paying for is not simply access to a trail; it is the entire logistical and safety infrastructure that makes your expedition possible: professional guiding, a trained porter team, park permit management, mountain accommodation, meals, emergency equipment, and the accumulated expertise of a team that has been operating on this specific mountain for over a decade. Understanding exactly what that means in practice, and exactly what falls within and outside the quoted price, is the foundation of excellent Rwenzori expedition planning.

Rwenzori Mountain Peaks: Complete Guide to Africa's Mountains of the Moon

This article answers every practical question about booking a Rwenzori trek: the step-by-step process from first inquiry to final day on the mountain; the full itemized breakdown of what is and is not included in the package price; how pricing varies across different routes and group sizes; the deposit and payment structure; cancellation terms; and the practical decisions you need to make before you confirm. It is the most comprehensive booking guide for the Rwenzori, and by the end, you will know exactly what you are paying for and how to proceed.

🧭  Our Booking Principle

At Rwenzori Trekking Safaris, every inquiry is treated as the beginning of a real conversation, not a sales funnel. We do not issue generic brochure prices. We assess your fitness, goals, group composition, and timeline, and we build you a specific itinerary with a specific, transparent price. If something is outside your budget, we will tell youΒ  and suggest alternatives that are not.

Why You Should Book with a Specialist Rwenzori Operator

The Rwenzori Mountains are one of the few mountain destinations in Africa where the choice of operator genuinely determines whether your expedition is safe, successful, and meaningfulΒ  or logistically compromised, potentially dangerous, and deeply disappointing. Unlike Kilimanjaro, where many operators compete on a well-documented and standardized route, the Rwenzori is a complex mountain environment where operator knowledge, porter team quality, and guiding expertise vary greatly. Choosing a specialist operator with specific, current Rwenzori experience is not a premium indulgence; it is the foundation of a successful expedition.

A specialist Rwenzori operator knows which huts the last month’s storm damaged and which the repairs have restored. They know which sections of the Kilembe Trail are currently most challenging due to seasonal water levels. They know the specific porter teams for each route, the individual guides’ strengths at altitude, and the emergency evacuation protocols that apply to each camp. A generic Uganda tour operator who adds ‘Rwenzori trekking’ to their portfolio does not know these things, and the gap between knowing and not knowing can have serious consequences at 4,500 metres in a whiteout.

Beyond safety, a specialist operator understands the booking framework that applies specifically to this mountain: the Uganda Wildlife Authority permit system, the rescue fund levy, the hut booking protocols, and the logistical requirements that differ between the Central Circuit Trail and the Kilembe Trail. These are not details that appear in generic African adventure tourism pricing. They are the specific, operational realities of this particular mountain.

The Booking Process: Step by Step

ℹ️  How Far in Advance Should I Book?

We recommend booking your Rwenzori trek a minimum of three to six months in advance, particularly for the peak trekking seasons of December, February, and June–August, when park permit availability and porter team allocation can become constrained. You should ideally book multi-peak expeditions (13-day, 18-day) six to twelve months in advance due to the extended porter and guide commitments involved. That said, we can sometimes accommodate bookings at shorter notice. Please contact us, and we will honestly tell you what is available.

Professional Lead Mountain Guide

Every Rwenzori trek includes a professional, certified lead mountain guide who is with the group from the first day to the last. This is not a trail guide in the sense of someone who knows which path to follow; it is a trained mountaineer with specific Rwenzori expertise, first aid certification, altitude management training, and the practical experience that comes from guiding on this particular mountain across multiple seasons. Our guides know the mountain’s huts, its seasonal hazards, its wildlife patterns, and its weather behavior in specific detail. For groups of more than four, or on technical routes, we also include an assistant guide.

Porter Team

How Much to Tip Your Rwenzori Porters and Guides

The Rwenzori porter team is one of the most important components of any expedition, and its inclusion in the package price is non-negotiable. Our Bakonzo porters carry all communal equipment (cooking gear, food supplies, emergency equipment, and group shelter) and clients’ main packs to each camp, freeing trekkers to move at a sustainable pace with a light day pack. Porters are allocated at a ratio that ensures no individual porter carries an excessive load, a standard we maintain both for safety and in accordance with the porter-welfare principles we operate under. The Rwenzori porter system is an essential part of the mountain’s economy and community fabric, and every trek we run directly supports the livelihoods of the Bakonzo communities of the western escarpment.

Uganda Wildlife Authority Park Fees and Rescue Fund Levy

Access to Rwenzori Mountains National Park requires payment of Uganda Wildlife Authority (UWA) park entry fees, which are per-person, per-day charges calculated for the duration of your time inside the park. These fees are included in the package price and managed by us; you do not pay them separately or deal with the UWA permit system directly. In addition, all trekkers must pay the UWA rescue fund levy, which helps fund mountain rescue operations. This levy is also included in the package price.

Mountain Hut Accommodation

All mountain hut fees for the duration of the trek are included in the package price. On the Central Circuit Trail, the huts are wooden structures managed by the Uganda Wildlife Authority, with bunk beds and foam mattresses at camps including Nyabitaba, John Matte, Bujuku, Elena, Kitandara, and Guy Yeoman. On the Kilembe Trail, the huts at Kalalama, Mutinda, Bugata, Hunwicks, and Margherita Camp are well-maintained and in excellent condition, with some camps equipped with solar charging panels. Trekkers bring their own sleeping bags; sleeping bags and liners are not provided as standard (rental available on request).

All Meals on the Mountain

Three meals per day are included for every day of the mountain trekΒ  from the morning of the first trekking day to the evening of the final camp night. Meals are prepared by our mountain cooking team using supplies carried by the porter team and include carbohydrate-rich staples (rice, pasta, ugali, and potatoes) with protein components (eggs, beans, lentils, tinned fish, and occasional meat), fresh vegetables on lower-altitude days, and fruit. Hot drinks, tea, coffee, cocoa, and soupΒ  are available at camps in the morning and evening. We accommodate dietary requirements, including vegetarian and vegan preferences, when discussed in advance; our article on food options for the Rwenzori covers these topics in detail.

Emergency First Aid Kit and Supplemental Oxygen

Every Rwenzori expedition carries a comprehensive group first-aid kit and, on routes above 4,000 metres, a portable altitude chamber (Gamow bag) and a supplemental oxygen cylinder for managing altitude sickness in emergencies. Our guides are trained in wilderness first aid and altitude medicine, and the emergency kit is designed for the specific risks of the Rwenzori environment: altitude-related illness, hypothermia, trench foot, and traumatic injury from technical terrain. Our complete medical guide to trekking the Rwenzori describes these medical protocols in detail.

Technical Glacier Equipment (Summit Routes)

For routes that involve the glaciated zone above 4,500 metresΒ  the Central Circuit and Kilembe Trail to Margherita Peak

the package price includes the provision of group crampons, rope, and ice axes necessary for safe glacier travel. Trekkers do not need to bring their own glacier equipment for these routes. Personal climbing harnesses and helmets are not provided as standard; trekkers should bring their own (rentals are available on request). Our glacier equipment is maintained, inspected, and replaced on a regular schedule.

What Is Not Included: The Items You Budget Separately

International Flights and Visas

The package price begins on the day of arrival in Uganda (or the morning of the first trekking day, depending on the specific itinerary) and does not include international flights to or from Entebbe International Airport. Uganda tourist visas are the responsibility of the individual trekker. Most nationalities can apply online through the Uganda e-visa portal approximately two weeks before travel. Current visa fees are approximately USD 50 for most Western passport holders. Our team can provide guidance on the visa application process but cannot process applications on your behalf.

Travel Insurance

Travel insurance that specifically covers high-altitude trekking and mountain rescue up to 5,200 metres is mandatory for all trekkers and is not included in the package price. This is non-negotiable; we will not begin a trek with a client who cannot demonstrate valid cover. Your policy must include emergency medical evacuation and repatriation, trip cancellation cover, and altitude trekking up to at least 5,200 metres. Our dedicated guide to Rwenzori travel insurance explains exactly what cover is required and which policy types are suitable. Do not book an African adventure travel policy that excludes mountaineering or high-altitude trekkingΒ  these exclusions are common in cheaper policies and will leave you without cover at the moment it matters most.

Pre- and Post-Trek Accommodation

The package includes mountain hut accommodation from the first night on the trail to the last camp night. It does not include hotel accommodation in Kasese before the trek begins or after it ends. We strongly recommend arriving in Kasese at least one full day before your trek start date to allow for rest, acclimatization to the Ugandan climate, a gear check, and the pre-trek briefing. Budget accommodation in Kasese runs from approximately USD 20–40 per night for a comfortable guesthouse; mid-range hotels are available from USD 50–100. We can recommend and arrange accommodation in Kasese on request.

Porter and Guide Tips

The trekker must pay tips for the porter and guide team, which are not included in the package price. They are, however, strongly recommended and culturally expected. The tipping culture in the Rwenzori is an important part of the mountain’s economic ecosystem; the porters and guides who make your expedition possible earn base wages that are supplemented by tips from trekkers. Our guide to tipping Rwenzori porters and guides provides specific recommended amounts by role and trek duration, structured to fairly reflect the local economic context.

Personal Gear

Personal trekking gear, including boots, clothing layers, a sleeping bag, trekking poles, a headlamp, and a personal day pack, is the trekker’s own responsibility. The Rwenzori has specific gear requirements that are meaningfully different from most other African mountains, primarily because of the sustained wetness and cold. Our guide to the best boots for the Rwenzori is essential reading. Gear rental is available in Kasese for some items, but the quality and availability of rental gear are limited, so we strongly recommend arriving with your own properly fitted, tested equipment. We can provide a detailed personal gear checklist as part of your pre-trip preparation pack.

Trek Prices: What Does Each Route Cost?

The following price guide covers the primary Rwenzori trekking itineraries available through Rwenzori Trekking Safaris. All prices are per person for groups of one to two trekkers and include all items listed in the ‘Included’ section above. Group discounts apply for parties of three or more; contact us for group pricing. Prices are quoted in USD and are current for 2026.

Trek Itinerary Price (per person) Group Size Note Key Features
2-Day Lake Mahoma Trek From $280 1–2 pax Forest & crater lake; low altitude

18-Day All 8 Peaks From $4,050 1–2 pax Complete range traverse; ultimate challenge

⭐  On Group Size and Pricing

The prices quoted above are for solo and duo trekkers, which are the highest per-person rates because all fixed costs (guide, porter team, park fees, hut bookings) are shared among fewer people. For groups of three or more, per-person costs decrease meaningfully. A group of six sharing a 7-day Central Circuit trek, for example, reduces the per-person cost significantly compared to solo booking. Contact us with your group size, and we will provide specific group pricing.

Deposits, Payment, and Cancellation Policy

Deposit and Payment Schedule

A 30% non-refundable deposit is required to confirm your booking and secure your permit dates, guide allocation, and porter team. This deposit covers the costs of reservation and planning that we incur on your behalf from the moment of booking. The remaining 70% balance is due no later than 30 days before the trek start date. For bookings made within 30 days of the trek’s start date, full payment is required at the time of booking. Payment is accepted by international bank transfer (details provided in the booking confirmation) or by other agreed payment methods discussed during the consultation process.

Cancellation and Refund Policy

We understand that circumstances change, and we try to operate a cancellation policy that is fair to both parties. Cancellations received more than 60 days before the trek start date forfeit only the 30% deposit. Cancellations received between 30 and 60 days before the start date forfeit 50% of the total package price. Cancellations received within 30 days of the start date forfeit the full package price because at that point we have committed fully to the guide team, porter allocation, and park permit bookings that cannot be recouped.

We strongly encourage all trekkers to purchase travel insurance that includes trip cancellation coverage, specifically because this policy means that late cancellations for unavoidable reasons (illness, family emergency, flight disruption) result in a significant financial loss. A good trip cancellation policy offsets this risk entirely. If you need to cancel due to a documented medical emergency or force majeure event, we will work with you and your insurer to provide the documentation required for a claim.

Date Changes and Postponements

If you need to change your trek start date after booking, we will accommodate this where possible, subject to permit availability and guide team scheduling. Date changes requested more than 60 days in advance are typically possible without penalty. Changes within 30 to 60 days may incur an administrative fee. Changes within 30 days are treated as cancellations for the original dates, with new dates requiring a fresh booking. In all cases, contact us as early as possible if your dates need to changeΒ  the earlier we know, the more options we have.

What to Expect When You Arrive: The Pre-Trek Briefing

Your trek experience with Rwenzori Trekking Safaris begins before you set foot on the trail. On the day before departureΒ  or on the morning of the first trekking day for some itineraries, we conduct a comprehensive pre-trek briefing that covers the complete itinerary day by day, the mountain’s altitude zones and what to expect in each, altitude sickness awareness and the protocols we follow, communication between guide and group, emergency procedures, and final gear check. This briefing is not a formality; it is a substantive preparation session that significantly reduces the incidence of problems on the mountain. We also use the briefing to confirm any dietary requirements, medical conditions that affect the itinerary, and fitness concerns that may have changed since booking.

You will meet your lead guide at the briefing, and this is an important opportunity to establish the relationship that will carry you through the trek. Our guides are knowledgeable, warm, professionally trained, and deeply familiar with the mountain. They are also direct; if they have concerns about your preparation or fitness based on the briefing, they will express them. This is not unwelcome criticism. It is professional care, and it is one of the most important things a good mountain guide can offer.

Combining Your Trek with Gorilla Trekking and Uganda Safaris

Many of our clients combine a Rwenzori trek with Uganda’s other exceptional wildlife and primate experiences, and we build combined itineraries that manage the logistics seamlessly. The most popular combinations pair the Rwenzori with gorilla trekking in Bwindi Impenetrable Forest or with a game drive safari in Queen Elizabeth National Park, which borders the Rwenzori range to the northeast and offers excellent lion, hippo, elephant, and bird-watching experiences alongside the mountain. Our 12-Day Rwenzori + Gorilla Trek combination is one of our most requested itineraries, bringing together the mountain challenge of the Rwenzori with the profound experience of encountering mountain gorillas on foot. Combined itineraries are priced as complete packages with a single, transparent total covering all the components.

Frequently Asked Questions: Booking a Rwenzori Trek.

How do I book a Rwenzori trek with Rwenzori Trekking Safaris?

The booking process starts with an enquiryΒ  by email (rwenzoritrekkingsafaris@gmail.com), WhatsApp (+256 773 256 104), or the contact form on our website. Tell us your preferred dates, how many people are in your group, your fitness level and trekking experience, and which summit or experience you are aiming for. We will schedule a consultation conversation, assess your goals, recommend the most appropriate itinerary, and issue a detailed written quote. To confirm the booking, a 30% non-refundable deposit is required. The remaining 70% is due 30 days before the trek start date. After confirmation, we provide a full pre-departure preparation pack covering gear, health, training, visa information, and transfer logistics.

What is included in the standard price of the Rwenzori trek package?

The standard package price includes a professional lead mountain guide (and assistant guide for larger groups or technical routes); a certified Bakonzo porter team carrying all communal and client main-pack equipment; all Uganda Wildlife Authority park entry fees; the mandatory rescue fund levy; all mountain hut accommodation fees; three full meals per day on the mountain plus hot drinks at every camp; a group emergency first aid kit with supplemental oxygen; and group crampons, rope, and ice axes for glacier routes. Airport and hotel transfers within the agreed scope are also included. What is not included in the package price: international flights, Uganda visa fees, personal travel insurance (mandatory and essential), pre- and post-trek hotel accommodation in Kasese, personal trekking gear, porter and guide tips, and personal snacks or additional beverages.

How much does a Rwenzori trek cost?

Prices vary by route, duration, and group size. For solo or duo trekkers, short forest treks start at approximately USD 280 (2-Day Lake Mahoma) and USD 700 (3-Day Mahoma Loop). Mid-altitude treks such as the 4-Day Mutinda Loop start from USD 645 and the 6-Day Weismann Peak expedition from USD 1,200. The full summit routes to Margherita Peak (5,109 m) start at USD 1,400 for the 7-Day Central Circuit and USD 1,750 for the 8-Day Kilembe Trail. Multi-peak expeditions range from USD 3,350 for the 13-Day 6 Peaks route to USD 4,050 for the 18-Day All 8 Peaks traverse. All prices are per person, include the inclusions listed above, and decrease meaningfully for groups of three or more. Contact us for group pricing.

What deposit is required to book, and what is the cancellation policy?

A 30% non-refundable deposit is required to confirm a Rwenzori trek booking. This secures your park permit dates, guide allocation, and porter team. The remaining 70% balance is due 30 days before the trek start date. The cancellation policy is as follows: cancellations made more than 60 days before departure forfeit the deposit only; cancellations made 30 to 60 days before departure forfeit 50% of the total price; and cancellations made within 30 days forfeit the full price. We strongly recommend purchasing trip cancellation travel insurance to protect against unavoidable last-minute cancellations, as our policy reflects the real costs we have committed to on your behalf.

Do I need travel insurance to trek the Rwenzori?

Yes, travel insurance covering high-altitude trekking up to at least 5,200 metres, including emergency medical evacuation and repatriation, is mandatory for all trekkers and is a condition of booking. This is not optional, and we will not start a trek with a client who cannot demonstrate valid cover. The Rwenzori’s remoteness makes emergency evacuation for serious altitude sickness, injury, or medical emergencies complex and costly, with the UWA rescue fund levy not covering these expenses. A standard ‘adventure travel’ policy usually suffices if it explicitly includes mountaineering or high-altitude trekking up to 5,200 metres. Policies that exclude mountaineering or cap altitude coverage below 5,200 meters are inadequate. Our guide to Rwenzori travel insurance details what to look for.

Are porter and guide tips included in the package price?

The package price does not include tips for the porter and guide teams, which are the trekker’s own responsibility. They are, however, strongly recommended and culturally important. The Rwenzori’s guides and porters earn base wages that are meaningfully supplemented by tips from trekkers, and the tipping culture on the mountain is a real part of its economic and community fabric. Recommended tip amounts (which vary by role, trek duration, and individual performance) are outlined in our guide to tipping Rwenzori porters and guides. A practical approach is to budget approximately USD 15–25 per day for the lead guide, USD 8–12 per day for assistant guides, and USD 5–8 per day per porter, adjusted for the quality of service received. Tips are given at the end of the final camp night or at the trailhead on the last day.

How far in advance should I book a Rwenzori trek?

We recommend booking a minimum of three to six months in advance for most routes and six to twelve months in advance for multi-peak expeditions (13-day and 18-day) or group bookings of five or more. The peak trekking seasons of December to February and June to August fill up fastest, particularly for the main summit routes. Permit availability from the Uganda Wildlife Authority can also become a constraint at peak periods. That said, we can sometimes accommodate shorter-notice bookings if your preferred dates are within three months; contact us, and we will confirm what is available. We cannot guarantee specific dates until we receive a deposit and confirm permits.
